How do I use Find and Replace?
The Find and Replace tool allows you to quickly reassign scheduled shifts or recurring schedules from one employee to another.
Large replacement requests may take time to process. To help monitor progress, Find and Replace includes Active and History tabs that show the status of replacement requests.
Accessing Find and Replace
Open the schedule containing the shifts you want to replace.
Launch the Find and Replace tool from the Tools menu in the upper right corner.
Replacing Shifts
Use this option when replacing individual scheduled shifts.
1. Select the Employee
Choose the employee whose shifts need to be replaced.
Adjust the date range if required and click Find.
Note:
The current scheduling period is selected by default.
2. Select the Replacement Employee
Choose the employee who will receive the shifts.
Click Check to review any scheduling conflicts.
Any conflicts will be displayed in the results table.
3. Select Shifts
Choose the shifts to move to the replacement employee.
Click Replace Shift(s).
The replacement request will be added to the queue and begin processing.
Replacing Recurring Shifts
Use this option when replacing a recurring schedule assignment.
1. Select the Employee
Choose the employee whose recurring shifts need to be replaced.
Adjust the date range if required and click Find.
2. Select the Replacement Employee
Choose the employee who will receive the recurring shifts.
Click Check to review any scheduling conflicts.
3. Open the Recurrences Tab
Select the Recurrences tab.
Choose the recurrence(s) to be reassigned.
You may hide recurrences that do not have shifts in the current period if needed.
4. Select an Effective Date
Choose the date the replacement should begin.
Leave the default date to replace the recurrence from the current scheduling period forward.
5. Replace the Recurrence
Click Replace Recurrence(s).
The replacement request will be added to the queue and begin processing.
Monitoring Replacement Progress
Replacement requests may take time to complete, particularly when future schedules extend far into the future.
A notification banner will appear whenever a replacement is currently being processed.
Active Tab
The Active tab displays replacement requests that are currently in progress.
Possible statuses include:
Replacing - The shift or recurrence is currently being reassigned.
Queued - The replacement request is waiting to be processed. Once the current replacement is complete, queued requests will begin automatically.
History Tab
The History tab displays completed replacement requests.
Details of the original assignment and replacement assignment are retained for reference.
Possible statuses include:
Completed - The shift or recurrence was successfully reassigned.
Failed - The replacement could not be completed. Review the status message for additional details. If the issue persists, contact Support for assistance.
Note:
If a recurrence is deleted from the schedule, it will no longer appear in the History tab.
