Managing Employee User IDs

 

Viewing Employees Without User IDs

There is now an option on the Users tab to see employees that do not have User IDs and send them invitations. To access the list of employees with no user id, select the View Users with No User ID button on the Users tab.

Once this page is open, users will see a table with employees that do not have Users IDs yet. If an employee has an email address added in the system, there will be an option to send them an invitation. If they do not have an email address, one will need to be added for them before an invitation can be sent. If they have multiple email addresses, the one with the highest ranking will be used and listed under "Primary Email". (Ranking is determined by the physical order in the list from top to bottom)

This page will also show the status of past invitations. If an employee had received an invite previously, it will show which email address the Invite was sent to under the "Last Invite Sent To" column. The user info will continue to show in this table if the User did not setup a User ID before the invitation expired. A new invitation can be sent if needed.

The table on this page can be filtered and sorted by any of the columns. the show columns drop down provides the user the opportunity to see just the columns that are relevant to them, making it easier to work on smaller screens.

There is also a quick way to select All employees with no invitation or All employees with failed invitations. These options are found in the Select dropdown. 

Note: Once an employee has set up their User ID and created their Passwords, their information will move from the "Employees with No User ID" table, to the Users table (described below).

 

Sending Invitations

To send invitations to selected users, click the Create user IDs and send invitations button. For employees added prior to this setup, this will create the pending User ID and send an email to the email address listed. For employees created after this setup, the pending User ID will already exist so just the email will be sent.

After Invitations have been sent, the page will update to show an Invitation Status of Invitation Sent along with the date and time. If an invitation has expired, the status will update to show that as well.

 

Users

Once users have set up their passwords for their User IDs, their User ID information will appear in a table under "Users", along with a Created Date and time to confirm when this was completed.
